Kanban Boards

See all your work flowing through one view

Written By Chirali Jain

ByDesign's kanban gives you a bird's eye view of your tasks as they move from Backlog through Next Up, In Progress, and finally Completed. You can see everything in your global Kanban, or create custom kanban boards on individual pages for specific projects.

The Global Kanban

Your global Kanban is your unified command center. All tasks across your workspace show up here in one of four fixed columns:

Column

What it means

Backlog

Ideas and tasks you're not ready to start yet

Next Up

Tasks queued and ready to begin

In Progress

What you're actively working on right now

Completed

Done and dusted

Where to find it:

Add it as a widget to your dashboard, or go to Workspace → Timeline and click the Kanban pill (the last one). Filter by tags, pages or due dates to focus on what matters.

Creating Kanban Boards on Pages

Want a custom kanban for a specific project or team? Create one directly on any page using "/" or the insert menu.

When you first create it, your page kanban starts with the same four columns as your global kanban. This means tasks stay in sync change a task's status on your page kanban, and it updates in the global view too.

If you customize the columns, the sync breaks. You can rename them to anything (like "Ideas," "In Design," "Built," "Shipped"), and they become independent. Useful for workflows that don't match the standard progression.

Setting Task Status

Open any task and click the edit icon at the top. You'll see a status field where you can choose which column the task appears in for your global Kanban.

✅ Changing a task's status here updates it only in the global Kanban

🗓 Use this to move work forward without dragging cards around

When to Use What

Use the global Kanban when:

  • You want a single view of everything in progress

  • You're managing parallel projects and need a full overview

  • You want consistent status tracking across your workspace

Create a page kanban when:

  • A project needs its own unique workflow stages

  • You want a view focused on one initiative

  • The standard four columns don't quite fit what you're doing

Pro tip: Keep the default column names (Backlog, Next Up, In Progress, Completed) if you want all your work synced to the global view. Only customize if you need a truly separate workflow.

Quick Tips

✅ Check the global Kanban regularly it's your high level pulse

🔄 Remember: changing column names on a page kanban breaks the sync with global

📊 Filter your view to see only what's important right now

💡 Every task has one status at a time - pick the most accurate stage
